    We do not have a set budget for this project. We will be evaluating the proposals based on relevant qualifications for destination management/tourism marketing over budget. The deadline for proposals/quotes is August 5.

    1. Do we need to be members of the Cottonwood Chamber of Commerce to qualify for working on this project? 2. Is this quote a formality as the City has already selected an agency for the website rebuild? 3. Is there a targeted budget for this?

    1. No, you do not need to be a member of the Chamber to qualify for working on this project. 2. No, we have not selected an agency for the website rebuild. Thus the reason for the solicitation. We are evaluating proposals based on relevant qualifications. 3. No, we do not have a set budget for this project.

    We hope to have user generated content that inspires visitors to the website to engage with us through promotions, programs and social media campaigns. Perhaps we launch a new blog, social media campaign, use a poll to survey what people think about Cottonwood. The goal was to ask this portion be an innovative option by the web developer/firm chosen to help us increase engagement in this area.

    Can the City confirm if there is an existing content management system that the vendor will work with, or are you looking for a new CMS solution to be implemented as part of the scope of work?

    The City does not actively use a CMS at the moment. We hope to launch one with the new website.

    1. Do you have a preference for working with a local agency, or are you open to collaborating with companies based outside the US? 2. Would you be open to the possibility of an agency based outside the US partnering with a local agency to pursue this opportunity?

    1. We are not selective on a firm based on their location, but rather evaluated based on relevant experience that is presented in the proposal. 2. We have never been asked about an international firm, but we will consider all proposals submitted and score according to relevant tourism experience.

    Are there any current problems being faced by the users or any feedback received which needs to be improved on the website? Did we conduct any audit of the website recently? If yes, can you share the report with us? Are there any specific areas where the website's layout needs re-designing?

    The current website is outdated and requires a comprehensive update. Both the content and technical aspects need refreshing to better meet the needs of our users. Our tourism partners have specifically requested a more robust presentation and increased interactivity online. While we have not conducted a formal audit, professional advice suggests it’s time for a “facelift” for the site. The existing listings for lodging, dining, and other partners are insufficient and need enhancement to provide more value.

    1. Are there any specific features or functionalities you envision for the website? 2. What is current technology stack of your website? Is the Website Hosting Server managed by existing vendor? If Yes than will managing Server also be part of present RFP? 3. What’s the desired timeline for the website to Go Live. Are there any key milestones or deadlines we should be aware of? 4. Whats the budget allocated for the overall project and can you bifurcate it into Website Design, SEO & Graphic Designing Service? 5. How will the success of the website Refresher be measured? 6. Are there any specific metrics or KPIs you'll be tracking to evaluate the effectiveness of refreshed website?

    1. The website is outdated, both with the platform and content. It is time to refresh the website and present Cottonwood in a more dynamic and engaging way. 2. The current site is created in Weebly. We recognize the more our destination grows, the more exposure it receives. The current website is not built to allow the many options (such a new blog, social media engagement, etc..) to it. 3. We are realistic, but hopeful to have a new/updated website by the beginning of the year, if not before. 4. A set budget has not been identified, but rather the evaluations will be based on relevant experience. 5. Based on relevant tourism and destination management practices. What makes a destination shine and stand out? What are some innovations that the firm can provide in terms of content, SEO, social media campaigns, etc. 6. Once a firm is identified and chosen, the tourism office will work closely to ensure the brand and KPIs such as accuracy for the brand reflects with the proper content and provided images.
